Frequently Asked Questions by Students

I've accessed my grades on line and I don't have a grade for my last rotation yet. What do I do?
The Curriculum Office does not post grades. All grades are posted by the individual departments. Check with the department first to see why your grade has not been posted. If so, contact Registrar to find out why your grade is not online.

I didn't get anything in my box for the rotation coming up. Who do I contact for my clerkship questions?
Go to the Phase 3 Curriculum Resources website at http://www.mcg.edu/som/clerkships/index.html

How many credit hours do Phase 1 and Phase 2 courses carry?
Please see this webpage: http://www.mcg.edu/som/coffice/CurricDescript/description.htm

How many days can we miss of a rotation without penalty?
If a student misses 3 days of a four-week rotation regardless of the reason, they will not receive credit for the rotation and must repeat. If a student misses 5 days of a six-week rotation regardless of the reason, they do not receive credit and must repeat. For further information regarding the policies and procedures for core clerkships please refer to this PDF.

Where do I get a copy of my transcript?
The Registrar’s Office.

Exactly when does our vacation start (Spring Break. Thanksgiving, Christmas) and what is the policy for taking call?
See the policies and procedures for the core clerkships on this PDF.

I need the school seal and my picture on my application for the NBME. How do I get them?
The Registrar has the school seal and the Curriculum Office can make a copy of your picture. For more questions about the NBME see their website at http://www.nbme.org/

What is the procedure for doing an off-campus elective at another site?

  1. Contact the sponsoring institution and obtain and complete their form (if appropriate).
  2. Following notification of acceptance, obtain an "Approval for Off Campus Elective Form" ("Green Sheet") from the Curriculum Office.
  3. Obtain approval for the elective from the departmental representative of the sponsoring MCG department. All off campus electives carry MCG numbers and the MCG department must approve your enrollment.

Departments will require the following information prior to approving an off campus elective:
    1. The name and academic title of the faculty member at the offering institution.
    2. Curriculum Vitae of the individual, if he or she has not previously taught MCG courses.
    3. The name of the person responsible for evaluating your performance during the elective.
    4. Dates of elective. You should make every effort to have the dates coincide with the MCG schedule.
    5. Any fees charged to visiting students.
  4. Return your completed "green sheet" to the Curriculum Office and complete a "Drop/Add Form."

The person responsible for the off campus course must send an evaluation of your performance to the MCG departmental representative handling the elective (not to the Curriculum Office). The representative will assign a grade (based on the evaluation) and report it to the Registrar's Office.

You are responsible for seeing that this information is transmitted appropriately. No grade and, therefore, no credit can be assigned without an evaluation.

Warning: You are not officially enrolled until you have returned your completed "green sheet" to the Curriculum Office. We cannot provide retroactive credit for electives in which you are not properly enrolled.

What is the policy for dropping and adding electives after the deadline?
According to the policy set forth by the Curriculum Committee, an elective may be dropped or added three weeks or more prior to the beginning of the elective. You can add after the drop/add deadline if your schedule shows vacation and if you have received special permission from the department sponsoring the elective. If you need to drop a scheduled elective after the deadline due to extenuating circumstances, you will need to obtain special permission from Dr. Albritton, Associate Dean for Curriculum. The elective will appear on your official transcript with the designation of “W” (withdrew). You will not be allowed to enroll in another elective for credit during this period.

What is the procedure for doing an elective at MCG by a non-campus student?

How do I change my schedule?
Come to the Curriculum Office, or complete online, a Schedule Change form. This form can be faxed to the Curriculum Office at (706) 721-7244.

When is the last day I can drop or add a course?
Students are allowed to drop or add a course three (3) weeks prior, or more, to the start date of the rotation. For specific dates for 2003-2004, see the Curriculum Office.

How do I change my sponsoring department?
Complete a Sponsoring Department Change form and bring to the Curriculum Office.
