1.

 How do I go to get fuel for MCG Vehicles?


The Medical College of Georgia has a service contract for Fleet Fueling Services with Wright Express.  This company provides a national network of vendors who supply fueling services.  Training is provided by Vehicle Services to employees on how to use the Wright Express Service Card, and how to obtain services.

Fuel / Service Sites Locations

MCG vehicles are only authorized to utilize Wright Express sites for the purchase of fuel and emergency services.  Guides and directories listing "Authorized  Wright Express Service Locations" maybe obtained at the Automotive Service Desk in the HT Building. 

Fuel Purchase Transactions

The majority of the MCG Fleet is gasoline powered, authorized only to purchase 87 octane, regular unleaded gasoline.  After fueling the vehicle, enter the station and locate the Wright Express transaction recorder.  Pass the vehicle's service card through the card reader, enter the required information (odometer reading, PIN) and wait for the the store clerk to acknowledge your transaction.  If the gallons purchased is correct, the transaction is complete.  No receipts will be given, each transaction is tracked by Wright Express.

Associated Problems and Corrective Actions:

  • If you should purchase the wrong grade of gasoline, you will have to pay for that purchase.  In order to receive a refund the employee must provide the following information:
     
    1. Ask the station clerk for a dated receipt.
    2. On the receipt, include the vehicle number and the odometer.
    3. Turn in the receipt to the Automotive Service Desk, for refund processing, form 8:00 AM to 4:30 PM, Monday through Friday.
  • If the Wright Express Service Card is damaged or inoperative, notify the station clerk and request assistance to complete the transaction.  Notify the Automotive Service Desk at (706) 721-4667 of the incident and request instructions for obtaining a replacement.

 I have been involved in a Motor Vehicle Accident, what do I do?
 


Driver's Responsibilities

In case of an motor vehicle accident, the employees must report all damages incurred to the MCG owned vehicle, at the first available opportunity, to each of the following:

  • Local law enforcement (off campus)
  • MCG Police at (706) 721-2911(on campus)
  • Their supervisor
  • Automotive Service Desk at (706) 721-4667, from 8:00 AM to 4:30 PM, EST, Monday through Friday, except holidays (EST).

This action is required no matter how minor the damage may seem to be.  The operator of the MCG vehicle involved in the accident will be asked to provide the following information for the accident report:

  • A valid driver's license.
  • MCG vehicle identification data.
  • MCG vehicle owner information.
  • Automotive insurance information.

Except for the driver's license information, all other information can be obtained from an "Accident Info-Pack" located in the vehicle's glove box.

Towing Instructions

If the extent of the damage renders the MCG vehicle not drivable the vehicle must be towed to Vehicle Services at the HT Building, or to a storage site until the vehicle can be towed to Vehicle Services.

  • On Campus / Local Metro Area:  Notify the Automotive Service Desk at (706) 721-4667, of the incident and request assistance, from 8:00 AM to 4:30 PM, EST, Monday through Friday.  After hours, weekends or holidays contact the MCG Police Dispatcher at (706) 721-2914 for assistance.
     
  • Off Campus / Out-of-Town:  Utilize the Wright Express site guide or directory for an authorized towing service.  Present the Wright Express Service Card to tow-truck operator.   If no towing service is listed in the guide for the area, you will have to obtain a local towing service and have the vehicle towed to a storage site, preferably to Vehicle Services at the HT building.  Instruct the towing service to bill the Medical College of Georgia's Vehicle Services, and that payment will be made when their invoice is received.
  • If you incur out-of-pocket expenses due to an accident turn in all receipts to Vehicle Services for reimbursement.

 My MCG Vehicle has broken down, what do I do?
 
Notify the Automotive Service Deck at (706) 721-4667 to initiate a "Repair Order", from 8:00 AM to 4:30 PM, Monday through Friday, except holidays, (EST).  You can check on the status of your vehicle repair by calling the Automotive Service Desk at (706) 721-4667.

After hours, weekends or holidays...

...contact the MCG Police Dispatcher at (706) 721-2914, who will contact the Vehicle Services Shop Foreman or a designated representative for instructions.

 How do I report MCG Vehicle damage or problems?

5.

 How do I qualify to operate MCG Vehicles?
 
Read MCG Vehicle Operator Policy 1.6.23. You will need to fill out a Driver's Certification Form, give the form to your supervisor to complete and submit to Public Safety for processing.  You supervisor will be notified of your status.

 Where do I get fuel for Utility Vehicles and Motorized Equipment?
 
Regular Wright Express Services are not available for that type of equipment. Vehicle Services operates a fueling facility at Lot 28 behind the HP building (Facilities Management), on Tuesdays and Thursdays 8:00 AM to 9:00 AM , and again at 1:00 PM to 2:00 PM.  In an  urgent fuel situation, outside of times listed, call the Automotive Service Desk at 721-4667, an appointment can be made for you to obtain fuel.

 How do I find Wright Express merchant locations?
 

 

Go to Wright Express's website at "Accepting Locations".

  Fill out the form to search for Wright Express Card Merchant Sites in or out of town.

8.

 Where can I go to get an MCG Vehicle washed and cleaned?
 
Our Automotive Service Center is equipped with an outside Wash Bay  located on the north side of the HT building.  Vehicle cleaning equipment and supplies are available during normal business hours to all MCG vehicle users on a first come first serve basis. 

It is the responsibility of department / vehicle operator assigned the MCG Vehicle to ensure it is cleaned and maintained in an orderly manner.
