Room Access / Restrictions Instructions and Procedures The Public Safety Division maintains MCGs room access restriction files. Management personnel may elect to have access to areas they are responsible for restricting. However, planning is essential for restricted access to be effective.
The person responsible for the management of a given area should prepare a copy of the room access request form. When a request is made to open a door within a building, the MCG Police Dispatcher takes the name of the caller and enters the door number into our room restriction database. If the room is not listed, the person is allowed entry after the officer answering the call checks the person’s MCG picture identification badge to ensure current MCG employment. Other forms of ID will not be accepted. If the room is restricted, the room number triggers the display of a data screen which lists authorized users and contact persons. Access is not granted unless the caller’s name is one of those listed. The Dispatcher will not give the caller the names of persons allowed access. Additionally, unless some type of urgent situation exists, the Dispatcher will not disturb the person(s) responsible for granting access. As you can see, it is essential that management personnel responsible for keeping access lists updated do so in a timely manner. The Public Safety Division will send out update reminders twice per year. Furthermore, if a department vacates an area, it is necessary to notify Public Safety to discontinue access restriction to the vacated area. Otherwise, access will be denied to the new tenants should they request after hours entry. Individual rooms MUST be considered when planning Room Access / Restrictions. For example, if the goal is to restrict access to an entire suite of offices, then it is insufficient to merely specify the main entrance door to the suite. Interior doors must also be specified. The reason for this is that an unauthorized person could request access to an interior door, the main entrance (restricted door) would then NOT show up on the display screen, and entry would then be granted to the unauthorized person. Remember, the control system is based on door numbers, NOT department or section names. A Room Access Restriction Form is available for duplication on this website for your convenience.
