How do I get keys to an area?

You should complete a Key Request Form, obtain the appropriate signatures on the form, and fax it to the appropriate Lock Shop (Campus or Health Inc.).  Once the order is filled, the key is forwarded to MCG Public Safety ID Badging / Key Control Office.  Employees are notified by e-mail or telephone that the key is ready to be picked up.  Please note, however, that keys must be picked up within 30 days, or they will be returned to the Lock Shop to be returned to inventory.

I have a key I no longer need.  Can I just give it to my supervisor?
 

No!  You must turn your keys in to the MCG Public Safety ID Badging / Key Control Office (HT 1147).  Keys are issued to individuals, and remain in their names until returned to the Key Control Specialist.   If you fail to turn your keys in, they will remain on your record and you will have to pay for them should you terminate.

My ID Badge will not give me access to an area.  What do I do?
  Contact the Building Coordinator for the facility or area to which you need access.  The Building Coordinator will notify the Public Safety Key Control Specialist, who will electronically add the access to your ID card.

My ID Badge will not allow me to clock in.  What do I do?
  After you have double check your clock in procedure, verify with your department's payroll administrator that he or she has the correct time and attendance number on file for you.  The time and attendance number is the second number on the right hand side of the back of your ID Card.  If the number in the system is correct, your card could be damaged.  Bring it to the Public Safety ID Badging / Key Control Office (HT 1147) for a reprint.  Please note:  Due to the high volume of customers in the office, you may find it wise to call before you come over.  The office is open for badge printing from 7:00 am to 5:30 pm.

I've lost my ID Badge.  What do I need to do?
  Contact Public Safety immediately (1-2911).  Your ID Badge will be deactivated to prevent someone from using your badge inappropriately.  Then come to the Public Safety ID Badging / Key Control Office to have your ID Badge reprinted.  There is a $10 charge for lost/stolen cards.  This charge is paid for through payroll deduction.  If you are terminating, you will have to pay the charge via check or cash.  Students should first go to the Cashier's Office in the AA building to pay for their lost card and bring their receipt to the ID Badging / Key Control Office for a new ID Badge.

The locks in my area have been changed, and I have a new key.  Can I throw the old key away?
  No!  A key that has been removed from your area may be utilized in another area.  These keys are the property of the State of Georgia, and should not be disposed of.  Also, the key remains in your name until you return it to the Public Safety Key Control Specialist (HT 1147).  Keys are issued to individuals, and remain in their names until returned to the Key Control Specialist.   If you fail to turn your keys in, they will remain on your record and you will have to pay for them should you terminate.

I've lost a MCG key assigned to me.  What do I need to do?
 

Contact Public Safety immediately (1-2911).  In accordance with MCG Policy 1.6.24, you will be required to pay for the lost key.  Come to the MCG Key Control/ID Badging Office (HT 1147) to handle this through payroll deduction.

I will need to utilize contractors or temporary staff on my next project.  What do I do to obtain an ID Badge / Card for them?
  Complete the Contractor ID Badge Form and fax it to the Key Control Specialist at 1-8101.  Once the proper checks are done, the Key Control Specialist will notify you so that the person may come to the office to obtain an ID Card.  Please submit your paperwork and allow a minimum of 24 hours to obtain the proper checks.

Do I have to wear my ID Badge on Campus?
  Yes!  Individuals are required by MCG Policy 1.6.11 to wear their ID cards "while on campus or other property operated by MCG. The badge shall be visible at all times."

I just swapped offices with my co-worker.  Can we just swap keys?
 

No!  Keys are issued to individuals, and remain in their names until returned to the MCG Public Safety Key Control Office.  Please contact the Key Control Office for information regarding key transfers (1-6287 or via e-mail PhysicalSecurity@.mcg.edu).

I'm a terminating employee.  Can I just give my keys to my supervisor or leave them in my desk for the next person?
 

No!  Keys are issued to individuals, and remain in their names until returned to the MCG Public Safety Key Control Office.  Please contact the Key Control Office for information regarding key transfers (1-6287 or via e-mail PhysicalSecurity@.mcg.edu).  If you prefer, you may contact Key Control prior to your termination date to obtain a listing of keys assigned to you to expedite your clearance process.

I paid for a lost key and now I've found it.  What can I do?
  Return the found key to the ID Badging / Key Control Office.  If a refund is applicable, a check will be mailed to  your requested address.
