Study Tracker - MCG Health System

Study Tracker is an online study patient registration application developed by representatives from MCG Health and MCG as a means to proactively identify patients who are accessing hospital services for research purposes.  This registration system will help ensure the appropriate billing of study-related hospital services.

Effective December 1, 2009, each study patient must be registered in Study Tracker before a hospital clinic visit, radiology or pathology service can be scheduled. Each patient in a study is registered one time.  This registration occurs after the initial study informed consent has been completely signed.

A Study Tracker general information and interactive demo is scheduled for Wednesday, November 4th at 9 a.m. and a repeat session at 4 p.m. in the Tech Transfer Conference Room (CA 2109).  It is important that research personnel responsible for entering patients in StudyTracker attend the informational/training session. Attendance will serve as a record of training.

For those unable to attend the general information/training session on November 4th, an online demonstration video is available. 

After viewing the video, send an email to OCIS Review Office to confirm training.  Simply click the OCIS@mcg.edu address to start the email message, include the subject "Study Tracker Training" and date of viewing.

Important Dates (Timeline)
September 16 Official Study Tracker email notifications begin.
October 5-16 Study Tracker pilot testing.
October 29 Study Tracker demo available on OCIS website.
November 4 Live demo and training.
November 13  Last day coordinators send information to OCIS for patient pre-load.
November 19  Study Tracker pre-load ends. Research sites keep a “running list” of patients to be entered into Study Tracker when it goes live.
November 22 -27 Quality Assurance checks on Study Tracker pre-loaded data.
November 30 Study Tracker goes live.

Important Information

Effective Monday, November 30, 2009, any study subject that will be scheduled for a hospital service needs to be registered in Study Tracker. Hospital services include HI clinic visits, radiology procedures, lab tests and services, and any other ancillary hospital service except clinical research pharmacy.

 

If a patient presents for one of these services and they are not registered in Study Tracker, the service will be provided under the following conditions:

  • The study will be billed for the service if the study can be identified in Study Tracker. The charges will not be moved from the study to insurance.
  • If the study cannot be identified in Study Tracker, the patient will be given the option to receive the service as self-pay. The self-pay charges will not be moved to the patient’s insurance.
