Self-serve PeopleSoft coming soon

Have you moved? Gotten married or divorced? Have a new emergency contact person? Did you remember to submit the right forms with Human Resources to update your file?

Medical College of Georgia employees will soon be able to take care of such changes online via two new PeopleSoft self-serve modules – eProfile and ePay – set to make their debut early this year.

PeopleSoft eProfile will allow employees to check and maintain their personal information in the HR database including marital status, name changes, emergency contact information, home and mailing addresses and phone numbers. (Marital status and name change updates will require additional verification, however, the online system will streamline the process.) From work or home, through the ePay module, employees can view their pay stubs, maintain direct deposit banking accounts, verify and change W-4 tax information and request additional or replacement W-2 forms.

“We are so excited about offering MCG employees this new service,” said Susan Norton, director of the Human Resources Division. “How many people have moved and forgotten to let us know they have a new address? Or, did they remember to tell HR to change their home phone in the system when they switched to a cell phone as a main number?

“We know it’s hard in the middle of a busy day to find the time to submit the proper paperwork or make the right calls to be sure personal information is current,” she said. “That’s why we think these new modules will encourage employees to check their personal information periodically and make it quicker and easier for them to complete updates.”

Implementation of the self-serve modules at MCG will follow a model set by the Georgia Institute of Technology, which has been using the system for about a year.

“The folks at Georgia Tech say that their database information is more accurate than it’s ever been,” said Mrs. Norton. “They were pleasantly surprised at how quickly their employees adopted and embraced the system.”

All employees will have access to the PeopleSoft sel-serve modules. The eProfile and ePay modules will be separate from PeopleSoft Financials someone might be using now if they have responsibility in those areas, said Mrs. Norton. Once the new modules are in place, every employee will be able to login to the web-based systems with their Novell password. An online tutorial will also be available.

Two more modules – eRecruit and ePersonnel Action Request form – are planned for launch next summer. eRecruit will replace MCG’s current online job application form with a more comprehensive system that includes the ability to view job postings and requirements, create/update resumes and other supporting documentation, search positions by category and keyword and set up e-mail alerts for new position openings. MCG’s technology programmers will develop the ePAR system for handling Personnel Action Requests for hires, salary increases, transfers, terminations and leaves of absence. The automated online system will allow requests to be distributed, tracked and approved online, preventing these important forms from getting buried on someone’s desk, said Mrs. Norton. “Because routing will be electronic, the tracking system will tell us immediately where the action is in the process.”
