Library Room Scheduling

Purpose
The room scheduling service is designed to facilitate usage of the Library conference rooms and electronic classroom by eligible groups of users for meetings, seminars, conferences, orientations, teaching courses and workshops using microcomputers (electronic classroom only), and other approved activities. Four conference rooms and three electronic classroom are available:

  • Room 211 seats a maximum of 24
  • Room 224 seats a maximum of 15
  • Room 127 and 163 electronic classrooms

Reserving Rooms - Room Request Form
Reservations need to be made in advance for the best selection of available dates and times. They may be made also by calling the Library Information Center desk at 721-3441. Please notify the Library as soon as possible if a room cancellation becomes necessary.

Guidelines for Use
Rooms are available for MCG-affiliated medical/educational purposes. They are not available for religious, political, or special interest meetings. Outside users (for example, vendors of medical /educational /business products) should communicate with the appropriate MCG director regarding the exhibit or display of products. Please see the "Purchasing Policies for Vendors" for more information. Outside users of Room 163 and 127 (the electronic classrooms) should review the Electronic Classroom Reservation Policy for fee schedules and more information.

Food and drink is allowed in Rooms 211 and 224, but not the electronic classrooms.

Persons booking/using the rooms are responsible for cleaning up immediately after the use of food and drink. Stains and spills should be reported immediately to the LInC desk. Failure to do so shall result in possible loss of privileges to use the rooms.

Arrangement of Furniture and Equipment Needs in Rooms
It is the responsibility of the user to schedule time for set up of the room prior to the meeting time. The user is also responsible for the physical arrangement of furniture within each room, and cleanup of rooms is expected immediately following the meeting. Classroom Services may be contacted at 721-3061 for audiovisual equipment needs for Rooms 211 and 224.

Entry and Departure
Upon arrival, please notify the LInC desk staff of the reservation so they may confirm it and issue a key to the room. This key must be returned to the LInC desk immediately after the room is opened. While going to and from rooms, please remember that others are using the Library. Talking on the steps, in open stack areas and outside the rooms disturbs other users. Please keep room doors closed at all times.
