SHARE volume standards:

Use:
The personal file sharing area, or SHARE volume, is provided as a resource for individuals to store, collaborate on, and distribute electronic documents.  Every department has its own folder and all people in the department should have read/write access to this folder.  Nobody outside of your department is able to view your department's shared folder without an explicit request from the head of the department to the IT Service Desk .

If you require a shared folder which is restricted to a smaller group than your department, you can request a restricted access folder through the campus helpdesk at 1-4000.  ITSS staff will create the restricted folder for you with a filter which only allows access to whomever you specify.

Limits/Restrictions:
Since resources on the MCG network are finite, we must ask that you please limit your use of the SHARE storage area to official MCG or affiliated business.  The SHARE storage area should also be limit to documents and data and should not be used for any of the following types of files:

  • Applications of any kind - Applications should be confined to the APPL storage area.  Please contact the IT Service Desk  at 1-4000 for more information if you would like to have an application loaded on the network)
  • Archived E-mail - The GroupWise e-mail client has the ability to offload dated e-mail content to an archive storage area.  This archive should be on a single local workstation of your choosing, and never on a network storage resource due to limited network resources.  For more information on GroupWise archiving, see the GroupWise User Guide.
  • Personal music, picture, or video files (files that end with mp3, wav, avi, bmp, jpg, mpg, etc.).  Due to the potential size of these types of files, they must absolutely remain on the appropriate local medium, off of the network, unless necessary for business use.

Any of the above file types located on the SHARE storage area may be removed from the network without prior notice to the owner of the files.

Every person is allotted an initial quota of 200 MB of available document storage on SHARE.  If you use your quota and need additional space, contact the helpdesk at 1-4000.  Quotas can be increased in 100 MB increments.

Cautions:
When storing Patient health or other sensitive information on the network it is critical that you consider what other people have access to the folder where you are saving your files.  Please make yourself aware of others' privileges before storing this type of data on the network.  If you need help with understanding the privileges in a particular folder, you can request a list of effective privileges for a particular folder from ITSS at 1-4000.

Access Points:
In order to meet our customers’ specific access needs, ITSS provides flexible methods of access for many of the services which we provide.  These various access methods we refer to as "Access Points," and they provide choices which can accommodate differing workstation configurations as well remote access to all of your network resources.

Backups:
The SHARE storage volume is backed up to offline media every weeknight (M-F) which is sent once each week to an off site storage location.  After 10 days, the daily backups are cleared and only weekly and monthly backups are available.  After six weeks, the weekly backups are removed as well, and the end-of-month tapes are maintained for one full year.  The backups to offline media are primarily for disaster recovery and should not be considered for compliance with the Records Retention Act or other governances unless special arrangements have been made with ITSS to facilitate a non-standard backup operation.

If you require information to be restored from the backup, submit a request to the appropriate helpdesk.  Please keep in mind that offsite backup media may take up to one full business day to retrieve before a restoration can begin.
