GroupWise e-mail quota for campus post offices

All faculty, staff and students are entitled to an MCG e-mail account (loginid@MCG.EDU) with a mailbox on an MCG mail server. Coming soon each mailbox will have a 200-megabyte quota for receiving incoming e-mail (including attachments) and for creating folders for sent and received messages.

GroupWise Disk Usage
Usage is the sum of the size of all messages in a user’s mailbox including Sent Items, Cabinet and Trash. Total usage is indicated as a percentage in the lower right-hand corner of the GroupWise window. Double-click on that box to view details of usage and to see which messages take up the most space. When a mailbox reaches 200-megabyte, incoming messages will continue to be accepted, but the mailbox will not be allowed to send until the user deletes enough messages to drop below the 200-megabyte limit.

Staying Below the 200 Megabyte Quota
Mailbox holders can stay below the quota either by deleting messages or by using the archive feature to move messages out of GroupWise. To find large messages and delete them, double-click the quota box and then view each of the four locations. The messages are sorted by size, so it's easy to find the large ones and delete them as needed. Messages deleted directly from various folders are moved to the Trash and still count toward total usage. Items must be deleted from the Trash to be completely remove them from an account.

Request for Exceeding the 200 Megabyte Quota
A Request Form for Exceeding the Quota pdf file is available for users who request special permission to exceed the 200-megabyte limit. Users who complete the form will have unlimited access to disk space, but over-quota charges of $5 per megabyte per annum will be charged to the department for any usage over the 200-megabyte limit (see example below). A 500-megabyte limit has been established for all mailboxes.

Example: A user requires an additional 100mb of server disk space for mail storage, bringing their total to 300mb.

100mb * $5.00 = $500.00 - Charged to their department each year.

Attachments
Since attachments typically occupy a lot of space, it's wise to save them to your local hard drive rather than storing them in the GroupWise Cabinet. Once a copy of an attachment is saved to the PC, the e-mail can be archived with the attachment or deleted.

The limit on attachments for internal e-mail (on-campus e-mail) is 50 megabytes while the limit on attachments for external e-mail (both incoming and outgoing) remains unchanged at 8 megabytes.

Archive Feature
To archive using mailbox storage size information:

  • Click “Tools” and select “Check Mailbox Size”. This is the same dialogue that appears when double-clicking the "Mailbox Size" button in the lower right of the main GroupWise window.
  • In the View group box, click “Trash, Sent Items, Received Items” or “Posted/Draft Items”.
     
    When a view is selected, GroupWise searches for items in the selected folder and displays the items in descending order, from the largest file size to the smallest. Click Stop Query at any time to stop the query.
     
  • Select an item or multiple items, then click “Archive”.
  • Repeat steps two and three until the storage size is below the limit set by your GroupWise administrator.
  • * Be sure to only archive to one local machine.

    Delete Items from Trash

  • To empty selected items from the Trash, click “Trash”.
  • Select one or more items. Click “Edit,” then “Delete,” then “Yes".
