Identity Protection Initiative
Accomplishment to Date
The
visibility of this Identity Protection Initiative has substantially enhanced
awareness about the importance of protecting personal information. Members of
the MCG community have embraced the IPI slogan—It’s Up To You—and have
made important changes to institutional and unit processes and practices.
Some
of these changes are highly visible. For example …

The Division
of Human Resources has removed the Social Security number field from more than a
dozen forms, including the document that was the catalyst for this entire
initiative—the Monthly Record of Leave and Other Absences form.
·
The Office of
Decision Support has secured archived copies of the Faculty Activities Report,
documents that contain the Social Security numbers of MCG faculty.
·
MCG work rules
have been amended to reflect that both intentional and unintentional violation
of confidential information is subject to formal disciplinary action.

The
institution also has launched MCG Soft Serv, an electronic interface that allows
employees to update personal information housed in Human Resources systems,
which has eliminated the need for the paper-based Personal Action Form for
select actions.
Other
changes are subtler, such as administrative assistants locking file cabinets
that store records containing sensitive information, some units requiring
shredding of all documents before recycling, employees not sending their
personal information over e-mail. Every week, we hear another story of how this
initiative has positively altered our approach to handling the personal
information of MCG faculty, staff, and students.
This
phase of the Identity Protection Initiative involves the implementation of
dozens of recommendations that were made in the first phase of this
project—changes involving new policies, new practices, and new technology
solutions. Check this page often for more reports on how the Identity Protection

information of members of the MCG community.
