Office of Primary Responsibility - Human Resources - Compensation/Classification     

Subject: Processing Requests for Extra Duty Personnel

 

1.0   Purpose:  To compensate employees (exempt and non-exempt) for work performed outside their home department.

 

2.0   Note: Extra duty occurs when a department needs an MCG employee to assist with work for only a limited duration as a result of a workload crisis.

 

3.0   Procedure:  Processing Requests for Extra Duty

3.1   Responsibility:  Department

3.1.1         Recognizes/identifies need for temporary, part-time employment of limited duration due to unforeseen and unbudgeted work.

3.1.2         Completes an Authorization for Extra Duty Employment Form (can be obtained by contacting the Compensation Office).

3.1.3         Obtains appropriate signatures from home department and extra duty department.

3.1.4         Forwards Authorization Request to Classification/Compensation.

3.2   Responsibility: Classification/Compensation

3.2.1         Receives authorization form.

3.2.2         Verifies existence and appropriateness of signature.

3.2.3         Date stamps the form.

3.2.4         Logs form in and assign a log number.

3.2.5         Attaches an extra duty worksheet.

3.2.6        Analyst reviews authorization request for compliance with policy, verifying the title, rate of pay and prepares recommendation.

3.2.7        Compensation Manager reviews recommendation for approval and signature.

3.2.8         Assistant will make 2 copies: one sent to department, one sent to Payroll. Logs out and files.

3.2.9         The original is filed with backup in Class/Comp.

3.3   Responsibility:  Department

3.3.1       Completes a Time Recording Sheet identifying appropriate hours/assignments/days worked and sends to the Payroll Office.

3.4   Responsibility: Payroll Department

3.4.1        Compensates employee by using the time recording sheet in the next appropriate pay cycle.
