THE MEDICAL COLLEGE OF GEORGIA ADMINISTRATIVE PROCEDURES Office of Primary Responsibility - Human Resources - Benefits Subject: Open Enrollment Process
1.0 Purpose: To present the procedures for the benefits open enrollment process.
2.0 Note: Open Enrollment is a one-month time period established by the Board of Regents to allow employees to review and make changes to their employee benefits if desired. The time period is usually during the months of October and/or November. Elected benefits become effective on January 1 of the following year.
The benefit elections offered during open enrollment are as follows. See Appendix E for benefits enrollment processes.
Health Insurance Life Insurance (Supplemental and Dependent) Short and Long-Term Disability Long Term Care Dental Insurance Accidental Death and Dismemberment Health Care Flexible Spending Accounts Dependent Care Flexible Spending Accounts Deferred Compensation Plans Other plans from independent companies such as AFLAC
3.0 Procedure: Open Enrollment 3.1 Responsibility: Benefits Office 3.1.1 Notifies employees by campus announcement of upcoming enrollment time period. 3.1.2 Mails out benefits packets to employees prior to beginning open enrollment date. 3.1.3 Conducts training seminars, if necessary, on newly offered benefits or other items of concern. 3.2 Responsibility: Employee 3.2.1 Goes to Benefits Office during the designated period to elect and/or change benefits. 3.2.2 Completes all forms required for benefit elections/changes. 3.2.3 Delivers/gives to Benefits Office. 3.3 Responsibility: Benefits Office 3.3.1 Inputs all changes into benefits panels within PeopleSoft and Q-Care (Blue Cross Blue Shield). Subject to Approval by Company, if applicable. See respective Appendix E benefits enrollment pages for more detail on processing each benefit. 3.3.2 Sends enrollment and or change forms to Records for scanning.
