Outside Advertising Requirements for Faculty Recruitment


HR-Faculty Affairs (HR-FA) sends the Search Committee Chair an email indicating that the Provost has approved their recruitment request. In order to secure approval, the following steps are required.

There are three required documents that make up the Faculty Recruitment Package (FRP):
1) Faculty Employment Request:
2) Applicant Clearinghouse Form; and
3) Outside Advertisement.

To facilitate posting of an ad on the MCG Web, an electonic copy in
MS Word as an email attachment should be sent to Faculty Affairs and include the ACH number in the Subject box.

It is important that the outside ad represents all pertinent recruitment details stated on the FER and/or ACH. When this requirement is not met, the FRP will be returned to the Dean/VP of the hiring unit for appropriate action.

In addition, the outside ad must include the following so that all basic and pertinent details are represented.

1. The MCG AA-EEO Office has approved a new “tag” as the official MCG affirmative action statement that must appear in all outside advertisements, effective April 12, 2006. The newly approved tag is more simplified while it continues to encompass the meaning of all previously used references:

  • The Medical College of Georgia is an Equal Opportunity and Equal Access Institution;
  • AA/EEO/Equal Access or AA/EEO/Equal Access/ADA Employer


2. When using the MCG logo, please request appropriate art from the Office of Strategic Communications and reference the on-line guidelines for use when providing it to your publisher. NOTE:  the logo should always include the 'TM' and never be printed smaller than 1" in diameter.

3. When developing the outside advertisement a template is available to be used as a resource so that suitable terminology may be included as it relates to the academic disposition (Official Faculty Title/Rank, Official Department/Section, Official Center/Institute and Official Title Assignment) in addition to the diverse job related responsibilities that will be determined by the hiring unit to describe their specific needs.

4. Advertisements that require modifications will be communicated to the hiring unit for the appropriate changes to be made. The final ad must be emailed as an attachment to Faculty Affairs.

5. When state funds are to be used to pay for outside advertising, the following procedures must be followed:

  • When the Provost has approved the Faculty Recruitment Package, HR-FA will send a copy of the approval notification email to the Buyer in Purchasing and the P-Card representative.
  • A PO# or P-Card authorization will be issued only in response to a request from the hiring unit with reference to the appropriate ACH#.
  • The hiring unit must include the PO# in the requisition as well as in the advertisement.

6. Changes to the recruitment criteria will necessitate review and approval of the changes to be made with the updates to be reflected within the advertisement on the MCG Website, the Applicant Clearinghouse Website and on an Outside Advertising Resource and must be posted for a minimum of 30 days.
