Procedures Regarding the
Outstanding Faculty Awards
as developed by
Subcommittee on Faculty Recognition

SUBCOMMITTEE ON FACULTY RECOGNITION
PROCEDURES FOR THE OUTSTANDING FACULTY AWARD
A. Selecting the Award Winners
- Not later than 2 ½ months prior to the award ceremony, each
school (and the library) should begin the selection procedure.
- There are no set rules for selecting the school (or library)
recipient, however, these guidelines are suggested:
- the nominees should be faculty members to include those up through
department chairs;
- there should not be repeat winners, unless a second award is given
primarily for accomplishments since the first award;
- it is not mandatory that a school (or the Library) select a
recipient each year, but this decision should only be made if the selection process does
not reveal a suitable awardee.
- The task force members representing the schools (and the Library)
should have the selection procedures in their area(s) started. (They may only be a
facilitator and not necessarily part of the actual selection procedure.)
- Deans (and the Director of Libraries) should be contacted early
and advised that it is time for selection procedures to begin. A letter from the Academic
Council's Executive Committee Chairman is a good way to do this.
- The award winners should be named not less than one month prior to
the award ceremony date in order to allow adequate time for the award plaques to be
engraved, award speeches written, etc.
B. The Award Presentation Speech
- The chair of the task force which selected the school (or library)
award winner should also make the award speech. If this is not possible, another faculty
member can make this speech. (This helps to promote the fact that the recipient is being
honored by fellow faculty members.)
- The task force member should assist the person in preparation of
the award and speech. Award speeches should follow these guidelines:
- total time should not exceed four minutes.
- mention only the most notable achievements, and not everything the
award winner has done.
- the recipient should not be named until the end of the
presentation.
- an advance copy of the speech should be sent to the Subcommittee
Chair (one week in advance) for use in preparing publicity release.
C. The Award Plaque
- The plaques are provided through the MCG Foundation and arranged
for by the administrative assistant to the Academic Council.
- Once the awardees are selected, their names and the verbatim
inscription for the plaques should be submitted to the administrative assistant to the
Academic Council.
- The plaque inscription should follow this example:

- It is recommended that the Task Force Chair make a periodic check
of the progress in getting these plaques engraved.
D. The Award Presentation
- The School (or Library) representative to the Faculty Recognition
Task Force insures that the award recipient is present for the presentation. It may be
appropriate to notify a winner in advance in order to secure their presence, but otherwise
the names should be kept secret.
- The awards are usually given at the spring General Faculty
Assembly in May.

the awards should be presented in
alphabetical order by School.

the School Dean (or the Director of
Libraries) should come forward when the recipient is named to assist in
congratulating and presenting the plaque to the award winner.

the Dean (or Director of Libraries) and
person making the award speech should shake the winner's hand.

the awardee should be given time for a
brief acceptance comment (not a speech) if desired.
E. Publicity
- The Division of Institutional Relations can develop a news release
from advance copies of the speeches and photos. (The chances of local newspapers are
enhanced if they receive the information early.)
- Coverage in other written media should include Beeper, MCG
Today, and the local Augusta media.
F. Certificates for the officers of the Faculty should
follow the examples below:
