Departmental Copy PrivilegeEmployees may request privileges to charge a departmental account when they use their ID badge to make copies at any campus ExpressCard accessed copy machines or print labs. To activate an MCG ID for Departmental Copy Privilege, please complete the Departmental Copy Privilege web application, using your computer to enter the information. If you are unable to access the web form, please call 1-9939 for assistance. Each MCG EXPRESS departmental copy card is registered to the individual user. Enter the user’s name, T/A number, campus address, department name and billable account number (please provide full CFC string), fund approval name, campus address, and signature. Use the TAB key to advance through the form (using TAB removes the "instruction messages" before printing). The badge number requested is the five digit Time and Attendance (T/A) number located on the back ID card. It is 5 digits only with NO letters. Please call 1-9939 if this 5 digit T/A number is not printed on the ID badge. To expedite activation of the account, the requested information may be sent via e-mail to: express@mail.mcg.edu BUT the original computer completed application must be mailed to DA-1020. The original form with fund signatures must be kept on file. The card privilege activation fee of $5.00 will be charged to the department. Copies are billed monthly by MCG Copy Services (ext.1-3333). The department contacts receive reports from the MCG EXPRESS office that list the current departmental copy privilege users and the monthly copy charges by individual user. Generic multi-user departmental charge copy cards are available. PPG employees and MCG students are also eligible for departmental copy privileges. Please call 1-9939 for information and the appropriate form. Because the MCG photo ID cards are linked to the individual, the department and/or fund approval contact is responsible for canceling the photo-copy charge privileges of personnel transferring out of the department or leaving MCG. To prevent misuse, it is imperative that lost or missing cards are reported immediately to the MCG EXPRESS office at 721-9939 or online: CLICK HERE to Deactivate a Lost/Stolen ID card. Cards can be deactivated (and reactivated, if found) by phone. DEPARTMENTS ARE RESPONSIBLE FOR ALL CHARGES MADE TO A LOST OR MISSING CARD -- MAKE SURE YOUR CARD USERS REPORT LOST OR MISSING CARDS IMMEDIATELY. MCG EXPRESS Copy Cards do not use PIN numbers or access codes. A valid card, when swiped through a copy card reader, will credit the maximum number of copies. The copy machines operate as usual and will make any number of copies up to the maximum number. When finished, the user should CLEAR any unused copy quantity remaining. To produce more copies, simply swipe the card again. (The copiers retain any special settings, i.e., SORT, GROUP, etc.). To change paper, etc. and not have to re-swipe, press HOLD on the card reader. Resume copying to re-start the reader. Patrons with an active personal MCG ExpressCard account that are allowed the departmental copy privilege, will receive additional instructions.
