MyMCG Announcement Guidelines
Overview
The Medical College of Georgia has three primary avenues for distribution
of announcements within MyMCG:
- Need to Know –provides non-urgent general
and official information of interest to or affecting a major portion of
the MCG community.
- Important Announcements Banner –highlights
important events, reminders, or announcements of interest to or
affecting a major portion of the MCG community.
- Public Safety Alerts Marquee –provides
information of an urgent nature (weather warnings, building closings,
etc.)
Guidelines for Use
Need to Know The purpose of the Need to Know portlet is to keep the Medical College of
Georgia community up to date on campus events, opportunities, deadlines,
policy changes, Public Safety updates and other general and official campus
information that is not of an urgent nature. To qualify for consideration in
the Need to Know portlet, the information must be timely and have an impact
on the majority of the MCG community. Notices about off-campus events will
NOT be posted unless the event is sponsored by a campus organization or
involves a significant number of people in specific campus audiences.
Special Note: As of September 1, 2005, the use of “everybody
e-mails” have been discontinued for Need to Know (Campus Announcement)
summaries, IT scheduled maintenance announcements, and other general
announcements. The use of “everybody e-mails” will be restricted to
emergency announcements only.
Guidelines for Submission

MCG faculty or staff may submit a
posting request via e-mail to:

All submissions will be screened for
appropriateness of content. Approved messages are posted daily to the
Need to Know portlet or to the Campus Events Calendar (displayed as
“Today at MCG” in the portal).

Allow three business days for
approval and posting – please plan ahead. If an unforeseen opportunity
or situation arises which needs immediate attention, the request should
be sent to . A follow-up phone call to ext. 1-4401 may also be in order depending on
the situation.

Messages remain on Need to Know for three business days after being
posted, and will not be reposted more than once within a quarter without
special permission. Disapproved messages (these are rare) are sent back to
the sender with an explanation.

Need to Know requests should be
formatted as follows:
- Subject of the message
- Sender's first and last name
- Sender's department
- Sender's MCG telephone extension
- The message should contain only text -- no graphics or
attachments.
It is the sender’s responsibility to ensure the document is grammatically
correct and error-free.
When sending a Need to Know request for an event, users should also post the event
on the appropriate
Campus Events Calendar.

Important Announcements Banner
The purpose of the Important Announcements Banner is to highlight
official information of an immediate, but not urgent, nature appropriate
for a broad campus audience. Announcements on this banner will be posted
for one day only (exceptions may be made on very rare occasions).
Approval for posting to the Banner rests with the Office of Strategic
Communications with input from appropriate administration leaders.

Public Safety Alerts
The purpose of the Public Safety Alert marquee is to provide
immediate notification of emergency situations. Such alerts will also be
communicated through an “everybody e-mail” message.
Public Safety Announcements about general events and non-urgent notices
will be released through the normal Need to Know process.
