HINF 3208 Record Processing Practicum Guidelines


The HINF 3208 course is a required Fall semester, Junior year course for students enrolled in the BS program. Students are expected to complete course requirements by the last day of classes of the Fall semester.

Immediately upon acceptance into the program, online students should begin the process of identifying two suitable health care facilities. Online students who live in the Augusta metro area or who desire the opportunity to complete this practicum course in Augusta metro area health care facilities must contact the MCG course instructor for assistance.

Definition of a Suitable Site

A suitable site is defined as a site that can provide the student with the experience necessary for completion of HINF 3208 assignments. It is preferred that at least one of the sites be an accredited inpatient acute care facility (hospital). Other sites that are acceptable include accredited long-term care facilities, rehabilitation facilities, outpatient physician practice facilities, and ambulatory surgery centers. For the HINF 3208 course, the DHI does not require a contract between a facility and the department; however, the student must be aware that some health care facilities may require a contract. For this reason, it is crucial for the online student to begin the search for suitable facilities immediately as the arrangement of a contract can be a lengthy process and will necessitate the involvement of faculty and staff at MCG.

Online Students: Arranging the Practicum

Online students who do not plan to conduct the practicum in the Augusta metro must contact the Director of Health Information Services (medical record department) at each of their chosen facilities and explain their purpose in making the contact. It may be necessary to make an appointment with the Director to discuss the requirements of the course. Students should provide each Director with a copy of the course syllabus, course schedule, and Instructions for Site Directors. These documents contain the details of the course requirements and should be reviewed by the student thoroughly before contacting a Director to request the opportunity to conduct the practicum at the facility.

Once the student identifies directors of two facilities who agree to host the student, the student should immediately complete the Student Request for Practicum Site Approval form, identifying both facilities on the form. The completed form should be faxed or emailed to the course instructor. The course instructor will consider the requested sites and will send a GroupWise email to the student indicating approval or disapproval of the desired sites. Once the student has received approval for two sites, the student should then download and print the PPE Confirmation for HINF 3208 letter for each site. The student should have each site director complete the bottom portion of the form indicated his or her agreement to host the student. The student should fax or email both completed forms to the course instructor. Students must not begin to engage in activities at either site prior to receiving MCG course instructor approval. In addition, the student must email or fax a schedule to the course instructor detailing the dates and times of the facility visits as agreed to by each site director.

Communication with the site directors is critical throughout this practicum arrangement process. The student is advised to maintain regular contact with the directors once the practicum sites have been approved in order to facilitate a smooth practicum experience.

For All Students (Campus & Online)

All students (campus and online) must complete a background check using PreCheck before starting the facility visit portion of this course; otherwise, the student will not be approved to complete this portion of the course, which may affect the student's eligibility to enroll in future practicum courses.
