Managing EndNote References

Selecting references:

1. References > Show All (to display all references in a Library).

2. Select references in the Library window.

  • Single reference – left click.
  • Multiple references - hold down CTRL key and left click each reference OR hold down SHIFT key and drag left click over references to select.

To delete selected references:  References > Delete

To display only the selected references: References > Show Selected

To conceal the selected references: References > Hide Selected

Two methods to copy selected references to other EndNote Libraries:

Copy and Paste

1. Select references.

2. File > Output Styles > Show All.

3. References > Show Selected

4. Edit > Copy

5. Open another EndNote Library; Edit > Paste.

Drag and Drop

1. Open two EndNote Libraries side by side.

2. In the Library giving the references:

  • File > Output Styles > Show All
  • Select reference(s) to be transferred.
  • Click and hold cursor over a selected reference (if multiple references are selected, clicking and holding on one of the selected reference will carry all selected references with it to the accepting Library).

3. In the accepting Library, drag cursor to the Library window and release.

To find duplicate references in an EndNote Library (Fig.14):

References > Find Duplicates (duplicates may be highlighted)

Do not automatically delete a duplicate reference:

1. Compare the field content quality of duplicate references; retain the best reference.

2. Edit the best reference as necessary to include useful data from the less desirable reference.

3. Delete the less desirable duplicate reference from the Library.

Fig. 14 – duplicate references in placebos Library highlighted in blue.

The sensitivity of the search for duplicate references may be modulated (Fig.15):

1. Edit > Preferences (Preferences window will open):

  • Highlight “Duplicates” in left column.
  • Check more field boxes in the “compare” to increase specificity.

The Criteria area has a choice to make an exact match to further increase specificity.
